Information collected
The main website enquiry form collects your name, email address, enquiry message and, if you choose to provide them, a telephone number, business name, website address, business location or country, preferred contact method and the type of website help you are interested in. The enquiry form within the fictional home-services concept collects your name, email address and enquiry message, together with your service-layout interest and, if you choose to provide them, a business name and area or postcode. Required and optional fields are identified on each form.
The Project Planner does not send anything while you use it. Your choices and any optional text remain in the current page until you choose to continue, when they are stored temporarily in your current browser session only so the structured brief can be transferred into the main enquiry form. That temporary browser copy is removed after it is used. Nothing is sent to Shaldon Web Studio unless you review and submit the enquiry form.
Do not enter passwords, payment details, special-category information or other sensitive personal information into the planner or enquiry form.
If you contact Shaldon Web Studio directly by email, you may also choose to provide other information relevant to your enquiry or project.
How and why information is used
Enquiry information is used to respond to messages, provide a free website review, understand possible work, discuss requirements, prepare a quotation and take steps towards a possible contract.
The applicable lawful bases are taking steps at your request before entering into a contract and the legitimate interests of Shaldon Web Studio in answering genuine business enquiries, keeping proportionate correspondence records and operating the website securely. If you become a client, information may also be used where necessary to perform the contract and meet relevant accounting or other legal obligations.
Hosting, forms and email
Netlify hosts this website and processes enquiry form submissions. It may also process basic technical information such as IP addresses, browser details, device information and page requests when delivering and protecting the website.
Form submissions may be stored in the Netlify dashboard. When a form notification is used, or when you email directly, Google and Gmail may process the resulting emails for delivery and storage. Information is only shared with service providers or professional advisers where reasonably necessary; it is not sold.
Business-to-business outreach
Shaldon Web Studio may contact relevant limited companies and limited liability partnerships about website design and improvement services, using business details that have been made publicly available. Sources may include the business’s own website and Companies House. Outreach is limited to services that appear relevant to the business contacted.
Records may include the business name, business email address, public contact name where applicable, website, company number and status, the reason and date contacted, any response, and opt-out status.
Where this involves personal information, the lawful basis relied on is normally legitimate interests: identifying and making proportionate contact with corporate businesses that may reasonably benefit from relevant services. The necessity of the contact and its effect on the individual’s rights and expectations are considered before this basis is used. The first outreach email includes or links to this privacy information.
Each outreach email identifies Shaldon Web Studio and provides an easy way to opt out. Personal information is not sold. Shaldon Web Studio does not cold-email sole traders or ordinary partnerships unless there is consent or another valid PECR basis. If the type of business is uncertain, it is treated as an individual subscriber unless an appropriate basis for contact has been established.
Information about an unsuccessful prospect is normally retained for no more than 12 months after the last contact. A minimal suppression record may be kept for longer where necessary to ensure that a business or contact who has opted out is not contacted again.
How long information is kept
Information relating to an enquiry that does not become a client project is normally retained for up to 12 months after the last meaningful contact, then deleted unless there is a good reason to keep it for longer.
Where an enquiry becomes a client project, relevant client, project, contract and accounting records may be retained for up to six years where necessary for project history, tax, accounting or legal record-keeping.
